Use the fields and options to configure the View Other Books Depreciation History screen.

The system posts depreciation to the General Ledger only for Book 1, the G/L Book. The details of the posted transactions are stored in the FA_POSTING_DETL (Posted Transactions Detail) table, where they can be printed from the Print Posted Transactions Detail Report screen. The system never posts depreciation to the G/L for any books other than for Book 1, the G/L Book.

Monthly depreciation expense activity for your optional books, which is not posted to the General Ledger, is now written directly to and is automatically stored in the FA_DEPR_HS (FA Depreciation History — Other Books) table when you run the Close Fixed Assets Accounting Period process. Disposal data, depreciation adjustment data associated with disposals, and transfer data are also written to this table during the Close process.

You can use this inquiry screen to access the historical data retained in this table.

Data displays in the table window when you click on the toolbar (or press F3). Once data displays in the table window, the Match button is enabled on the toolbar.

Use the Query button (or press F11) to choose more specific selection criteria. Data in the table window is non-editable.

You can view historic depreciation activity for your other books at any time on this screen after you have closed one or more Fixed Assets periods for which you have computed (or manually entered) depreciation. Data loaded into the table window for the inquiry is cleared when you exit from the screen and new data is loaded for viewing when you select different inquiry parameters.

Field Description
Asset No

Enter, or click to select, the asset number for which you want to view the depreciation history.

This field is optional. If you leave this field blank, all asset/item numbers from the Other Books Depr History table (within the confines of your other selection parameters) will display in the table window.

Lookup at this field retrieves information from the FA_DEPR_HS table instead of the ASSET table. As a result, the asset numbers from which to choose during the lookup will be limited to those assets for which historical depreciation expense data for your optional books already resides in the FA_DEPR_HS table. If no data exist in the table, the system displays a message which says that the specified data do not exist in the Other Books Depr History table. Use Query to select a more specific subset of data.

Note: The Asset No field is one of several key fields in the table. If you enter data in this field and click on the toolbar, the Asset No column will not display in the table window.
Item No

Enter, or click to select, the item number for which you want to view depreciation history.

This field is optional. If you leave this field blank, data for all asset/item numbers from the Other Books Depr History table (within the confines of your other selection parameters) will display in the table window.

Lookup at this field retrieves information from the FA_DEPR_HS table instead of the ASSET table. As a result, the item numbers from which to choose during the lookup will be limited to those assets for which historical depreciation expense data for your optional books already resides in the FA_DEPR_HS table. If no data exist in the table, the system displays a message which says that the specified data do not exist in the Other Books Depr History table.

Use Query to select a more specific subset of data.

Note:

The Item No field is one of several key fields in the table. If you enter data in this field and click on the toolbar, the Item No column will not display in the table window.

Fiscal Year

Enter, or click to select, the fiscal year for which you want to view depreciation history. This lookup displays only those fiscal years already set up on the Manage Fixed Assets Fiscal Years screen in descending order, beginning with the most future fiscal year.

Because this is a standard lookup display from the FA_FY_INFO table, you may find that you have selected a fiscal year for which data do not exist in the Other Books Depreciation History table (FA_DEPR_HS).

This field is optional. If you leave this field blank, data for all fiscal years from the Other Books Depreciation History table (within the confines of your other selection parameters) will display in the table window.

Use Query to select a more specific subset of data.

Note: The Fiscal Year field is one of several key fields in the table. If you enter data in this field and click on the toolbar, the Fiscal Year column will not display in the table window.
Period

Enter, or click to select, the accounting period for which you want to view depreciation history. This lookup displays only those periods already set up for the fiscal year specified in the Fiscal Year field.

Because this is a standard lookup display from the FA_PD_INFO table, you may find that you have selected a period for which data do not exist in the Other Books Depreciation History table (FA_DEPR_HS).

This field is optional. If you leave this field blank, data for all periods from the Other Books Depreciation History table (within the confines of your other selection parameters) will display in the table window.

Use Query to select a more specific subset of data.

Note: The Period field is one of several key fields in the table. If you enter data in this field and click on the toolbar, the Period column will not display.
Book No

Enter, or click to select, the book number for which you wish to view depreciation history.

This field is optional. If you leave this field blank, data for all books from the Other Books Depreciation History table, within the confines of your other selection parameters, will display in the table window.

Lookup at this field retrieves information from the FA_DEPR_HS table instead of the FA_SETTINGS table. As a result, the book numbers from which to choose during the lookup will be limited to those books for which historical depreciation expense data for your optional books already reside in the FA_DEPR_HS table. If no data exist in the table, the system displays a message which says that the specified data do not exist in the Other Books Depr History table.

Use Query to select a more specific subset of data.

Asset Account

Asset "ownership" data is a required entry in the Acct Info tab of the Manage Asset Master Information screen and on the Manage Asset Account Information screen for all property records. Account and organization are always required, but projects and reference numbers are optional. The account/org/proj/ref1/ref2 data that you assign to an asset specifies "ownership" and can include company-owned balance sheet or expense accounts, projects, and so on.

This field is optional. If you leave this field blank, data for all accounts found in the Other Books Depreciation History table (within the confines of your other selection parameters) will display in the table window.

Lookup at this field retrieves information from the FA_DEPR_HS table instead of the ACCT table. As a result, the accounts from which to choose during the Lookup will be limited to those accounts for which historical depreciation expense data for your optional books already reside in the FA_DEPR_HS table. If no data exists in the table, the system displays a message which says that the specified data do not exist in the Other Books Depr History table.

Note: The Asset Account field is one of several key fields in the table. If you enter data in this field and click on the toolbar, the Account column will not display in the table window.
Asset Organization

As a result, the organizations from which to choose during the lookup will be limited to those organizations for which historical depreciation expense data for your optional books already reside in the FA_DEPR_HS table. If no data exist in the table, the system displays a message which says that the specified data do not exist in the Other Books Depr History table.

Use Query to select a more specific subset of data.

Note: The Asset Organization field is one of several key fields in the table. If you enter data in this field and click on the toolbar, the Asset Organization column will not display in the table window.
Asset Project

Note: The Asset Project field is one of several key fields in the table. If you enter data in this field and click on the toolbar, the Asset Project column will not display in the table window.

Table Window

Please refer to the preceding documentation regarding the relationship between column data in the table window and field data on the screen header. The columns in the table window are non-editable.

Field Description
Asset No

This column displays the asset number associated with the depreciation expense history amount(s) for your other books, as applicable, for the time period identified in the row.

Item No

This column displays the item number associated with the depreciation expense history amount(s) for your other books, as applicable, for the time period identified in the row.

Short Description

This column displays the short description for the asset/item number associated with the depreciation expense history amount(s) for your other books, as applicable, for the time period identified in the row.

Fiscal Year

This column displays the fiscal year associated with the depreciation expense history amount(s) for your other books, as applicable, for the asset/item number identified in the row.

Period

This column displays the accounting period associated with the depreciation expense history amount(s) for your other books, as applicable, for the asset/item number identified in the row.

Book No

This column displays the book number associated with the depreciation expense history amount(s) for your other books, as applicable, for the asset/item number identified in the row.

Asset Account

This column displays the asset account associated with the depreciation expense history amount(s) for your other books, as applicable, for the asset/item number identified in the row.

Asset Organization

This column displays the asset organization associated with the depreciation expense history amount(s) for your other books, as applicable, for the asset/item number identified in the row.

Asset Project

This column displays the optional asset project associated with the depreciation expense history amount(s) for your other books, as applicable, for the asset/item number identified in the row.

Reference 1

This column displays the optional asset reference 1 designator associated with the depreciation expense history amount(s) for your other books, as applicable, for the asset/item number identified in the row.

Note: The field Reference 1 may display a different label if it has been changed on the Configure General Ledger Settings screen. For example, AC 1.
Reference 2

This column displays the optional asset reference 2 designator associated with the depreciation expense history amount(s) for your other books, as applicable, for the asset/item number identified in the row.

Note: The field Reference 2 may display a different label if it has been changed on the Configure General Ledger Settings screen. For example, AC 2.
Transaction Type

This column displays the transaction type associated with the depreciation expense history amount(s) for your other books, as applicable, for the asset/item number identified in the row.

The transaction types can be identified as follows:

  • DEPR: Depreciation Expense
  • DISP: Disposal
  • DADJ: Depreciation Adjustment in Conjunction with a Disposal
  • TRF: Transfer of Accumulated Depreciation
Transaction Amount

This column displays the transaction amount associated with the depreciation expense history amount(s) for your other books, as applicable, for the asset/item number identified in the row.
