Loc Info Tab

Use the fields on this tab to enter, edit, or view template defaults, as applicable, for location group information, general location information, and location codes.

You can use this screen to enter a location group that identifies pre-established location data that automatically displays on this screen. Alternately, you can skip the Location Group field and enter location data in each of the location code fields, as desired. You can set up location groups on the Manage Location Groups screen.

Alternately, if you enter data in the individual location fields, note that you can set up values for the Location 1 Label, Location 2 Label, and/or Location 3 Label fields on the Manage Asset Master Field Labels screen. Although you can use this tab without setting your own labels, data entry and reporting may be facilitated with meaningful labels.

In addition, you can set up validated data for entry on this screen when you use the Manage Location 1 Codes, Manage Location 2 Codes, and/or Manage Location 3 Codes screens.

There are no system-required fields on this screen.

If you plan to use templates, you should enter data on this screen and in the applicable subtasks before you begin to establish your Asset Master records. You can use template functionality at any time, however. Although you can change the information on this screen at any time, use caution in the timing of your data edits, which may affect the types of records included in system reports.

Note: If you have used a template to "import" data into an Asset Master record and you later make a change to a template data field, the data change will not automatically be copied to the Asset Master record without user intervention. In this circumstance, you will need to go back into the Manage Asset Master Information screen and tab through the Template No/Rev No fields to re-import data from the template. Alternately, you can create a new template, either with a new template number or by using the same template number with an appropriate revision number that incorporates the change. Or you can bypass the template record and manually make the desired change directly in the Asset Master record.

If this template record has been specified as the default template in the Default Template for Asset Master group box on the Configure Fixed Assets Settings screen, data from these fields will display in the same field(s) in an Asset Master record if you use the corresponding template/revision number.

Location Group Info

In this group box, you can enter, edit, or view the location group for this record.

Field Description
Location Group

For a new template record, enter, or click to select, the location group in this field, as applicable.

A location group identifies a set of pre-established location data that can include address and user-defined location code fields that automatically display in this tab.

Although this field is optional, the system validates your selection for this field against your setup data. If you use location groups, you will first need to establish the data on the Manage Location Groups screen.

If you do not specify a location group in this field, you can optionally enter location data on a field-by-field basis, as desired. If you use a location group, you cannot edit the general location information in the left portion of the screen.

For an existing template record, this field displays the data you entered when you originally added the template record or made subsequent edits. You can additionally edit data that displays in this field now, you can add new data to a blank field, or you can delete the existing data in this field, as desired.

A location group is also optional in an Asset Master record on the Manage Asset Master Information and Manage Asset Location Information screens.

The data from this field will automatically show as the location group in an Asset Master record if you specify the use of the template/revision number as a new or replacement template/revision number.

The name that you assign to the location group during setup on the Manage Location Groups screen automatically displays in the non-editable field directly to the right of the Location Group field.

General Location Info

Use the fields in this group box to enter, edit, or view general city, state/province, postal code, country, and county location information in the template.

If data displays in any field as a result of entering a location group in the Location Group field, you will not be able to enter or edit the field(s) in this group box. In this circumstance, go to the Manage Location Groups screen to make appropriate edits, as needed.

Field Description
City

For a new template record, enter, or click to select, a city location, as applicable.

For an existing template record, this field displays the data you entered when you originally added the template record or made subsequent edits. You can additionally edit data that displays in this field now, you can add new data to a blank field, or you can delete the existing data in this field, as desired.

Alternately, for both new and existing template records, if you enter a postal code in the Postal Code field that has previously been set up on the Manage Postal Codes screen, the city name associated with the postal code automatically displays in this field as a default city. In this circumstance, you can overwrite the displayed city data as desired and enter non-validated city data.

City data is also optional in an Asset Master record on the Manage Asset Master Information and Manage Asset Location Information screens.

The data from this field will automatically display as the city in an Asset Master record if you specify the use of the template/revision number as a new or replacement template/revision number.

Note: This field is independent from the other location fields. If you have not used a location group, you can add data in this field without any requirement to add data in any other data fields in this screen.

Data from this field will automatically display in the City field in a new Asset Master record in the Loc Info tab of the Manage Asset Master Information screen and the Manage Asset Location Information screen, if you specify the use of the template/revision number that display for this template record.

Field Description
State/Province

For a new template record, enter, or click to select, a state/province location abbreviation, as applicable.

For an existing template record, this field displays the data you entered when you originally added the template record or made subsequent edits. You can additionally edit data that displays in this field now, you can add new data to a blank field, or you can delete the existing data in this field, as desired.

You can enter only valid state/province data from the Manage States and Provinces screen in System Administration in this field.

Alternately, for both new and existing template records, if you enter a postal code in the Postal Code field that has previously been set up on the Manage Postal Codes screen, the state/province name associated with the postal code automatically displays in this field as a default state/province. In this circumstance, you can overwrite the displayed state/province data with other validated state/province data as desired.

State/province data is also optional in an Asset Master record on the Manage Asset Master Information and Manage Asset Location Information screens.

The data from this field will automatically display as the state/province in an Asset Master record if you specify the use of this template/revision number as a new or replacement template/revision number.

Note: This field is independent from the other location fields. If you have not used a location group, you can add data in this field without any requirement to enter data in any other fields in this screen.

Data from this field will automatically display in the State/Province field in a new Asset Master record in the Loc Info tab of the Manage Asset Master Information screen and the Manage Asset Location Information screen, if you specify the use of the template/revision number that display for this template record.

Postal Code

For a new template record, enter, or click to select, a postal code location, as applicable.

Since the system validates your selection for this field against your setup data, you will first need to establish postal code data on the Manage Postal Codes screen in System Administration.

If you use to review the postal codes or enter a postal code in this field, the city, state/province, and/or country data associated with the postal code automatically displays in the appropriate fields. In this circumstance, data related to the postal code will overwrite existing data in the City, State/Province, and Country fields, but you can edit the system-populated data as needed.

For an existing template record, this field displays the data you entered when you originally added the template record or made subsequent edits. You can additionally edit data that displays in this field now, you can add new data to a blank field, or you can delete the existing data in this field, as desired.

Postal code data is also optional in an Asset Master record on the Manage Asset Master Information and Manage Asset Location Information screens.

The data from this field will automatically display as the postal code in an Asset Master record if you specify the use of this template/revision number as a new or replacement template/revision number.

Note: This field is independent from the other location fields. If you have not used a location group, you can add data in this field without any requirement to add data in any other data fields in this screen.

Data from this field will automatically display in the Postal Code field in a new Asset Master record in the Loc Info tab of the Manage Asset Master Information screen and the Manage Asset Location Information screen, if you specify the use of the template/revision number for this template record.

Country

For a new template record, enter, or click to select, a country code, as applicable.

Since the system validates your selection for this field against your setup data, you will first need to establish country codes on the Manage Countries screen in System Administration.

For an existing template record, this field displays the data you entered when you originally added the template record or made subsequent edits. You can additionally edit data that displays in this field now, you can add new data to a blank field, or you can delete the existing data in this field, as desired.

Alternately, for both new and existing template records, if you enter a postal code in the Postal Code field that has previously been set up on the Manage Postal Codes screen, the country code associated with the postal code automatically displays in this field as a default country. In this circumstance, data related to the postal code will overwrite existing data in the City, State/Province, and Country fields, but you can edit the system-populated data as needed.

Country data is also optional in an Asset Master record on the Manage Asset Master Information and Manage Asset Location Information screens.

The data from this field will automatically display as the country code in an Asset Master record if you specify the use of this template/revision number as a new or replacement template/revision number.

Note: This field is independent from the other location fields. If you have not used a location group, you can add data in this field without any requirement to add data in any other data fields in this screen.

Data from this field will automatically display in the Country field in a new Asset Master record in the Loc Info tab of the Manage Asset Master Information screen and the Manage Asset Location Information screen, if you specify the use of the template/revision number for this template record.

County

For a new template record, enter a county name, as applicable.

For an existing template record, this field displays the data you entered when you originally added the template record or made subsequent edits. You can additionally edit data that displays in this field now, you can add new data to a blank field, or you can delete the existing data in this field, as desired.

County data is also optional in an Asset Master record on the Manage Asset Master Information and Manage Asset Location Information screens.

The data from this field will automatically display as the county name in an Asset Master record if you specify the use of this template/revision number as a new or replacement template/revision number.

Note: Unlike the City, State/Province, and Country fields, county data is not automatically linked with postal code information. This field is independent from the other location fields. If you have not used a location group, you can add data in this field without any requirement to add data in any other fields on this screen.

Data from this field will automatically display in the County field in a new Asset Master record in the Loc Info tab of the Manage Asset Master Information screen and on the Manage Asset Location Information screen, if you specify the use of this template/revision number.

Location Codes

Use the fields in this group box to enter, edit, or view user-defined data for up to three additional user-defined location fields in the template.

Although location code data is optional, the system validates your selections against your setup data. If you use location codes, you will first need to establish the data on the Manage Location 1 Codes, Manage Location 2 Codes, and/or Manage Location 3 Codes screens, as applicable.

Additionally, although it is not a system requirement that you establish location code labels other than the system-provided default labels for these fields, you may want to establish more meaningful labels on the Manage Asset Master Field Labels screen.

Field Description
Location1 (or your label)

If you designate a value for the Location 1 Label field on the Manage Asset Master Field Labels screen, your label description for Location 1 Label automatically displays in this field on this screen and at corresponding fields throughout the system.

You can enter or edit data in this field independent of whether you have used a location group on this screen.

For a new template record, enter, or click to select, a Location 1 code, as applicable.

Since the system validates your selection for this field against your setup data, you will first need to establish Location 1 data on the Manage Location 1 Codes screen.

For an existing template record, this field displays the data you entered when you originally added the template record, made subsequent edits, or that the system populated automatically as a result of using a location group with location code data on this screen. You can additionally edit data that displays in this field now, you can add new data to a blank field, or you can delete the existing data in this field, as desired.

Location code data is also optional in an Asset Master record on the Manage Asset Master Information and Manage Asset Location Information screens.

The data from this field will automatically display as the Location 1 code data in an Asset Master record if you specify the use of this template/revision number as a new or replacement template/revision number.

The name that you assigned to the Location 1 code during setup on the Manage Location 1 Codes screen automatically displays in the non-editable field directly below the Code field.

Note: This field is independent from the other location fields. You can add data in this field without any requirement to add data in the Location2 (or your label) and/or Location3 (or your label) fields or in any other fields on this screen.

Data from this field will automatically display in the Location1 field in a new Asset Master record in the Loc Info tab of the Manage Asset Master Information screen, if you specify the use of this template/revision number.
