Expense Transaction Details Subtask

Use this subtask to enter transaction details of a particular expense ID within an expense report.

If the vendor expense detail information was auto-created by the process based on expense information, you cannot edit the amount on this screen.

Field Description
Expense Line Number

The value in this field is system-assigned for new rows or it displays the value saved by the Create Subcontractor Invoices process.

Charge Type

Select the Charge Type from the drop-down list which can be one of the following:

  • UC: Under Ceiling
  • OC: Over Ceiling
  • T1: Tax 1
  • T2: Tax 2
Expense Amount

Enter the expense amount associated with the expense ID. It is the sum of all detail rows for this expense report with the same Sales/VAT Tax code.

Transaction Currency

This field displays the Transaction currency associated with the Expense Amount.

Sales/VAT Tax Amount

This field displays the total Sales/VAT Tax amount associated with the expense ID. It is the sum of all amounts in all detail rows for this expense ID with the same Sales/VAT Tax code.

Sales/VAT Tax Code

This field displays the Sales/VAT Tax code associated with the expense ID. All associated detail rows will have the same tax code, and will match the code on the voucher/invoice line.

Total Amount

This field displays the sum of the Expense Amount and Sales/VAT Tax Amount associated with the expense report, for a particular Sales/VAT tax code.

VAT Recovery Amount

Enter the recoverable amount of the Sales/VAT Tax Amount associated with the expense ID for a particular Sales/VAT Tax code.

Project, Account, Organization, REF00001, REF00002

These fields display information associated with an invoice that was created via the Create Subcontractor Invoices application. These are not applicable for manually entered vouchers.

Outside Period of Performance

This check box is selected if the charges are outside the period of performance of work assignment.

Costpoint checks if the work assignment is outside the period of performance based on the selection made on the Allow Charges Outside Work Assignment Period of Performance check box on the Configure Subcontractor Management Settings screen.

When the subcontractor invoice is created and the Allow Charges Outside Work Assignment Period of Performance check box is clear, any charges outside the work assignment start and end dates are reclassified to an unallowable account which is specified on the work assignment charge line. Otherwise, no validation will take place.

Over Allowed Amount

This check box is selected if the expense amount is beyond the allowed limit.

Costpoint checks if the invoice amount is over the allowed limit by checking it against the vendor employee ceiling and/or work assignment charge line ceiling.

If the Allow Charges Over Charge Line/Vendor Employee Amount check box on the Configure Subcontractor Management Settings screen is clear and the invoice amount has exceeded the ceilings, the Over Allowed Amount check box is selected. In addition, the invoice amount is charged to the unallowable account for the work assignment.

If the Allow Charges Over Charge Line/Vendor Employee Amount check box on the Configure Subcontractor Management Settings screen is selected, the amount is charged to the expense line account, regardless of whether the amount is over or under ceiling. As a result, the Over Allowed Amount check box is clear or not selected.
