Contents of the Mass Link Accounts/Organizations Screen

Use the fields and options to configure the Mass Link Accounts/Organizations screen.

Accounts

Field Description
Account, Account Name

This table window displays a list of all detail accounts. Select the accounts that you want to link to organizations.

To select an account, click in the blank column at the beginning of the table row for that account. To select more than one, press the CTRL key while you click the blank column for each account row.

Organizations

Field Description
Organization, Organization Name

This table window displays a list of all organizations. Select the organizations that you want to link to accounts.

To select an organization, click in the blank column at the beginning of the table row for that organization. To select more than one, press the CTRL key while you click the blank column for each organization row.

Select

After you select the accounts and organizations to be linked, click the Select button to link those accounts and organizations. After you begin this process, your computer is unavailable to you for other tasks until the process completes.

Note: Linking accounts and organizations is a time-intensive process. The processing time can be fairly lengthy if you are linking many accounts and organizations. The Selected Account/Organizations table window can display up to 1,000 rows of linked accounts and organizations.

Selected Accounts/Organizations

This table window displays the links created when you click the Select button. You can add new lines to add additional links individually.

Field Description
Account, Organization

The linked account and organization codes display in these fields. If a combination was set up in error, highlight that row and delete it.

To add a link, add a new record. Then enter, or click to select, the account number and organization ID.

Active

The Active check box for each row is selected unless the organization or account is currently inactive.

Fiscal Year Start, Period Start, Fiscal Year End, Period End

You only use the starting and ending fiscal years and periods for an account/organization combination that is valid only for a particular period of time. For example, if you decide to discontinue use of an account/organization combination at the end of fiscal year 2011, you specify the final period of 2011 as the ending period for that combination. If you are replacing it with a new account/organization combination, you also specify the first period of 2012 as the starting period for that new combination. When you set up an account/organization that you want to use immediately and continuously for the foreseeable future, leave these fields blank.

If either the account or the organization selected already has starting or ending periods, Costpoint automatically sets these fields so that the active time period for the account/organization combination corresponds to that range of periods for which both the account and the organization are active. You can edit those periods to make the range of periods smaller, but you cannot make it larger.

You could then edit the dates to equal any range of dates smaller than 7/2011 through 12/2011, such as 10/2011 to 12/2011, but you could not make the range larger, as in 01/2011 to 12/2011.
