Receipts Subtask

Use this subtask of the Manage Purchase Order Vouchers screen to match invoice quantities to existing receipts when the Match Type is 3 and the Match Option is set to INDIV.

  • If you enter a packing slip, warehouse, or receipt in the Default Receiving Info group box on the Header Info tab of the main screen, Costpoint attempts to match all invoice quantities against that packing slip. Any quantities remaining that cannot be matched trigger a warning message.
  • If there is no default packing slip, warehouse, or receipt, Costpoint attempts to match invoice quantities against receipts based upon receipt date. The earliest receipts are matched first, until they have been completely matched.

In insert mode (when you add a new purchase order voucher), all receipts against the purchase order display. Costpoint matches against receipts in ascending date order, until the invoice quantity is fully matched, or there are no more receipts. If there is a default packing slip, warehouse, or receipt, then that receipt is matched first, then in ascending date order for all other receipts.

You can enter received, accepted, and rejected quantities on this subtask if the following conditions are met:

  • The Voucher Received option on the purchase order line is selected for the item being vouchered.
  • An inventory abbreviation does not exist for the item being vouchered.
  • You did not select the Require Location for Non-Inventory Receipts check box on the Configure Receiving Settings screen in Receiving.

You can use the default packing slip and receipt to add the appropriate receive purchase order, if they have not already been used.

You can access this subtask whenever focus has been set to an existing voucher line. You can access this subtask to view all receipts against the purchase order line being vouchered. You can match receipts whenever the Match Type is 3 and the Match Option is INDIV.

Table Window

If the purchase order line has been auto-received on the Manage Purchase Order Receipts screen, this table window displays the receipt line information based on the settings in the Default Receiving Info group box on the Header Info tab of the main screen. Otherwise, you can add new receipt match lines.

Field Description
Receipt

This field displays the PO Receipt ID from the Manage Purchase Order Receipts screen.

If you are adding a new receipt line, enter or click to select, the purchase order receipt ID to use when adding this receipt line to the Receive Purchase Order screen. If auto-numbering is being used, Costpoint can assign an ID.

Receipt Line

Enter, or click to select, the receipt line.

Receipt Match Qty

If the Match Option of the purchase order line for this voucher line is INDIV, enter the quantity of this invoice to match against this receipt.

If the Match Type is 3 and the Match Option is INDIV, Costpoint matches against receipts in ascending date order, until the Invoice Quantity is fully matched or there are no more receipts.

  • If you entered a default packing slip, warehouse, or receipt in the Default Receiving Info group box on the Header Info tab of the main screen, that receipt is matched first, then in ascending date order for all other receipts.
  • If you entered a default packing slip and receipt, Costpoint automatically calculates the match quantity, but it can be changed if necessary. This quantity cannot be greater than the Accepted Quantity for this purchase order receipt.
Warehouse

This field displays the Warehouse from the Manage Purchase Order Receipts screen.

If you are adding a new receipt line, enter, or click to select, a valid warehouse for this receipt line. This is a required field when adding new receipts.

Packing Slip

This field displays the Packing Slip No from the Manage Purchase Order Receipts screen.

If you are adding a new receipt line, enter the packing slip to use when adding this receipt line to Receive Purchase Order. This is a required field when adding new receipts, if you selected the Require Packing Slip check box on the Configure Receiving Settings screen in Receiving.

Received Date

This field displays the transaction Date from the Manage Purchase Order Receipts screen.

If you are adding a new receipt line, you can edit this field. The invoice date defaults but you can change it. This is a required field when adding new receipts.

Received Quantity

This field displays the Received Qty (PO U/M) from the Manage Purchase Order Receipts screen. If you are adding a new receipt line, you can edit this field. Enter the quantity received against this receipt ID. This field must be greater than zero when adding new receipts.

Accepted Quantity

This field displays the Accepted Qty (PO U/M) from the Manage Purchase Order Receipts screen. If you are adding a new receipt line, you can edit this field. Enter the quantity accepted against this receipt ID.

Rejected Quantity

This field displays the Rejected Qty (PO U/M) from the Manage Purchase Order Receipts screen. If you are adding a new receipt line, you can edit this field. Enter the quantity rejected against this receipt ID.

Rejection Reason

This field displays the Rejection Reason from the Manage Purchase Order Receipts screen. If you are adding a new receipt line, you can edit this field. Enter, or click to select, a valid rejection reason code.

Rejection Disposition

This field displays the Rejection Disposition from the Manage Purchase Order Receipts screen. If you are adding a new receipt line, you can edit this field. Enter, or click to select, a valid rejection disposition code.

Rej Order/ Pmt Disposition

This field displays the Rej Order/ Pmt Disposition from the Manage Purchase Order Receipts screen. If you are adding a new receipt line, you can edit this field. Enter, or click to select, a valid rejection order/payment disposition code.

Rejected Quantity - Pay

If the Rej Order/ Pmt Disposition from the Manage Purchase Order Receipts screen and/or the Order/ Pmt Disposition from the Rejection Info subtask of the Manage Quality Control Inspections screen is Pay, that portion of the Rejected Quantity (PO U/M) displays here and cannot be edited.

Rejected Quantity - Replace

If the Rej Order/ Pmt Disposition from the Manage Purchase Order Receipts screen and/or the Order/ Pmt Disposition from the Rejection Info subtask of the Manage Quality Control Inspections screen is Repair/Replace, that portion of the Rejected Qty (PO U/M) displays here and cannot be edited.

Rejected Quantity - Credit

If the Rej Order/ Pmt Disposition from the Manage Purchase Order Receipts screen and/or the Order/ Pmt Disposition from the Rejection Info subtask of the Manage Quality Control Inspections screen  is Credit Due, that portion of the Rejected Qty (PO U/M) displays here and cannot be edited.

Previously Vouchered Qty

This non-editable field displays the quantity previously vouchered for this receipt line. This is the quantity matched against this receipt line across all vouchers, including this one.

Desired Date

This non-editable field displays the Desired Date from the purchase order line.

Due Date

This non-editable field displays the Due Date from the purchase order line.

Material Handler

This field displays the Material Handler from the Manage Purchase Order Receipts screen.

If you are adding a new receipt line, you can edit this field. Enter, or click to select, a valid employee ID.

Load Receipts

Click this button to load receipt lines associated with the purchase order line.
