General Tab

Use this tab to enter, edit, or review general information about the subcontract.

You can enter basic information such as the subcontractor/vendor linked to the subcontract and the subcontractor administrator. You can specify the contract associated with the subcontract and view existing data for the contract, such as the contract value and contract start/end dates.

When you link a project to the subcontract, you can view general information and contract and funding values for the project. You can also view or print the Project Status Report, Project Labor Summary Report, and/or Project Non-Labor Detail Report for the project.

Subcontractor Information

Use this group box to indicate and/or view information for the subcontractor or vendor that will be working on the subcontract.

Field Description
Subcontractor/Vendor ID

Enter, or click to select, the ID of the subcontractor or vendor that you want to associate with the subcontract.

Vendors in any of the following criteria will not be allowed for entry or selection: with an inactive status, flagged as payroll vendors, or classified as prospective vendors.

If vendor approval is enabled, you will not be able to save vendors that are unapproved (Approval Code is set to Not Approved). If the vendor has pending approval or is on a warning status, Costpoint displays a warning message but you will still be able to save the record.

You can use to see which vendors have an active exclusion status (that is, the Active SAM.gov Exclusion check box is selected for the vendor in the lookup). If you select a vendor that is on the SAM.gov exclusion list and save the record, Costpoint gives out a warning message. On the Warning dialog box, you can click Ok to continue saving or click Cancel to return to the record and select a different vendor.

Name This field displays the subcontractor/vendor name.
Long Name This field displays the long name of the subcontractor/vendor.
Specialty This field displays the areas of specialty of the subcontractor/vendor, if available. You enter the vendor specialty on the General tab of the Manage Contract Management Vendor Info screen.
Subcontractor Administrator

Enter, or click to select, the employee who is the subcontractor administrator. The unlabeled field to the right displays the employee name.

By default, only employees with a status of Active are displayed in the lookup, but you can manually enter employees with a status other than Active. You can also use the Status query condition option on the Query tab of the Query dialog box of this field to search for employees with other statuses.

NDA Received If selected, this check box indicates that the non-disclosure agreement (NDA) document has been received for the subcontract. This is selected if records exist on the NDA subtask of this tab.
CAGE Code This field displays the Contractor and Government Entity (CAGE) code for the subcontractor/vendor.
DUNS Number

This field displays the Data Universal Numbering System (DUNS) number of the subcontractor/vendor.

Note: The UEI is the official identifier used by vendors transacting with the government. DUNS is retained for historical purposes and commercial needs only.
UEI Number This field displays the Unique Entity Identifier (UEI) number of the subcontractor/vendor that is generated in the System for Award Management (SAM.gov).
Note: Entering uppercase 'O' or 'I', and entering zero (0) as the first character are not allowed.

Prime Contract Information

Use this group box to specify and view information for the contract linked to the subcontract.

Field Description
Contract ID

Enter, or click to select, the contract ID that you want to associate with the subcontract. If an opportunity ID has already been entered (that is, in Manage Contracts, the opportunity ID was assigned to the contract under the General tab, not on the Additional Opportunities subtask), you can click to select any contract directly related to the opportunity ID. However, any active contract that exists in Manage Contracts can be entered in this field.

The unlabeled field to the right displays the contract name. Once you save the record, the contract name displays as a hyperlink that you can click to open the Manage Contracts screen and view additional information about the contract.

Opportunity ID

If a contract ID is entered, this field defaults to the opportunity ID directly linked to the contract, if one exists, but can be modified.

Enter, or click to select, the opportunity ID that you want to associate with the subcontract. If a contract ID has already been entered (that is, in Manage Opportunities, the contract ID was assigned to the opportunity under the General tab, not on the Contract subtask), you can click to select any opportunity directly related to the contract ID. However, any active opportunity that exists in Manage Opportunities can be entered in this field.

Total Contract Value This field displays the total contract value from the Manage Contracts screen based on the contract ID. Any modifications entered in Manage Contracts, that are not linked to a project, will not be included in this total.
Aggregate Subcontract Value This field displays the aggregate subcontract value for all subcontracts with the same prime contract number and contract task order. It is the sum of the contract value cost and fee for all subcontract modifications and does not need to be linked to a project. Subcontract modifications can be entered and viewed on the Subcontract/Project Modifications subtask of the Modifications tab of Manage Subcontracts.
Percentage of Total Contract Value This field displays the subcontract's percentage of total contract value. Costpoint calculates this value by dividing Aggregate Subcontract Value by Total Contract Value.
