Contents of the Migrate Contract Management Activities Toolkit Screen

Use the fields and options to configure the Migrate Contract Management Activities Toolkit screen.

The following message displays at the top of the screen:

"This toolkit will generate a log of records that cannot be migrated due to data integrity errors. Review this log and make necessary changes to the records so they can be included in the migration. The migration process is designed to run once to avoid data duplication."

Toolkit Run Options

Field Description
Generate record validation logs to review before data migration Select this option to generate record validation logs to review before migrating activity data.
Migrate records from old activity table to new Select this option to migrate records from the old activity table to the new tables.
Delete valid records from the old table after migration

Select this check box to delete valid records from the old table after migrating activity data. This is recommended to ensure that records are not duplicated on the Manage Activities screen and on the Activities subtask of the following applications:

  • Manage Opportunities
  • Opportunities Quick View
  • Manage Contracts
  • Manage Subcontracts
  • Manage Leads and Contacts

Process Log File

Field Description
Process log file location

Enter, or click to select, the location of the process and validation log files.

If you did not specify a location for the log file, the application will store the logs in the database. You will be able to view the logs through the File Download (SYMDLMGR) screen. To view the log files of this application on the File Download screen after you ran the migration:

  1. Click the Query function, and then click the Query tab.
  2. Create a Query Condition with CTPACTTK as Application ID, and sort the results by the Last Modified column, Descending.
  3. Click Query. The screen will list the file logs of the Migrate Contract Management Activities Toolkit from the latest log created.
  4. Click the logs to view the files.

Activity ID Generation

Field Description
Use universally unique identifier (UUID) Select this option to have Costpoint use a UUID composed of a string of random letters and numbers for the activity ID.
Use auto-assigned Activity ID from CM settings Select this option to have Costpoint generate an activity ID using the settings on the Configure Contract Management Settings screen.
Use custom Activity ID sequence Select this option if you want to use a custom activity ID sequence.
Custom ID prefix This field is enabled only if you selected Use custom Activity ID sequence. Enter the prefix that you would like to use for the custom activity ID.
Numeric segment length This drop-down list is enabled only if you selected Use custom Activity ID sequence. Select the numeric segment length for the custom activity ID. You can choose from 5 to 15.
Sample ID This field displays a sample ID based on the option you selected in Activity ID Generation.

Other Attendees Mapping

Field Description
Add other attendees to Activity Notes Select this option to have Costpoint add other attendees from the old records to the notes section of the new activity records.
Create an activity resource record for each attendee Select this option to have Costpoint create an activity resource record for each attendee from the old activity records.

Process

Click on the toolbar to run the toolkit. You can generate validation logs multiple times, but the migration process can be run only once.
