Contents of the Manage Asset Location Information Screen

Use the fields and options to configure the Manage Asset Location Information Screen.

With this screen option, you do not automatically have access to data fields in other Asset Master subtasks; such access rights must be granted by the system administrator for each subtask on a screen-by-screen basis.

Note: You can alternatively enter, edit, and view location data for an Asset Master record by accessing the Manage Asset Master Information screen, which automatically grants access to all available tabs and subtasks. An alternate access route to Asset Master tabs and subtasks gives you more flexibility when screen security options for users with different access needs are set up.
  • If screen rights allow you access the Manage Asset Master Information screen, all the screen's tabs and subtasks are automatically accessible to you.
  • If you do not have access rights to the Manage Asset Master Information screen, the system administrator can alternately grant or deny rights using the direct menu option (via the Asset Master Records menu) on a screen-by-screen basis. In this manner, each user can access only the permissible tabs or subtasks in an Asset Master record.

When you first bring up this screen, a screen prompts you to enter a search criteria.

Although the data displays in columnar form in the table window on this screen, data entry functionality and data rules for each column are identical to those for each corresponding field in the Loc Info tab of the Manage Asset Master Information screen, regardless of which entry screen methodology you establish for each user. You can also use the Form view option for this screen.

You cannot use this screen to add new asset records. You can enter additional optional data, change existing data, or delete existing data within the system rules already established for Asset Master record that was originally added using the Manage Asset Master Information screen and its subtasks.

On this screen, unlike maintenance table windows throughout Costpoint, the line functions in the menu bar (Execute, New Record, Clone Record, Delete and Undelete) are disabled.

There are no system-required columns on this screen.

You can enter or edit a pre-established location group, which identifies a set of pre-established location data that displays on this screen. Alternately, you can skip the Location Group column and enter location data in each of the individual location columns. (Location groups are set up optionally during initialization on the Manage Location Groups screen.)

Alternately, if you enter data in the individual location columns, note that you can set up labels for Location 1 Label, Location 2 Label, and/or Location 3 Label in the Location Labels for Asset Master group box on the Manage Asset Master Field Labels screen. In addition, you can set up validated data for entry on this screen on the Manage Location 1 Codes, Manage Location 2 Codes, and/or Manage Location 3 Codes screens.

Although you can change the information on this screen at any time, use caution in the timing of your data edits, which may affect the types of records included in system reports.

Table Window

Field Description
Asset No

This non-editable column displays the asset number assigned to this record when the asset was saved on the Manage Asset Master Information screen.

Item No

This non-editable column displays the item number assigned to this record when the asset was saved on the Manage Asset Master Information screen.

Short Desc

This non-editable column displays the optional short description entered for this record, if applicable. The description data may have been entered or edited on the Manage Asset Master Information screen or on the Manage Asset Description Information screen. Any edits to this column must be made on these two screens.

Record Status

This non-editable column displays the system-required record status assigned to this record on the Manage Asset Master Information screen. The possible display options for this column are Active, Inactive, or Disposal. The system default is Active. A record must be Active to be eligible for depreciation calculations.

Location Group

This column displays the optional location group entered for this record, if applicable. Data displayed in this column may have been edited on the Loc Info tab of the Manage Asset Master Information screen or on this screen.

You can enter, edit or click to select, a valid location group for this record.

If you assign a location group in this column, you cannot edit data in the City, State/Province, Postal Code, Country, or County columns on this screen. In this circumstance, you can return to the Manage Location Groups screen to make appropriate edits, as needed, or you can delete the location group in this column to enter or edit specific location information for the record on a column-by-column basis.

Location Group Description

This non-editable column displays the location group description assigned to the location group when the location group was saved on the Manage Location Groups screen. To edit the location group description, you must do so on the Manage Location Groups screen.

City

This column displays the city entered for this record, if applicable. Data displayed in this column may have been edited on this screen or the Loc Info tab of the Manage Asset Master Information screen, or set up as a default on the Manage Location Groups screen.

You can edit this column only if you did not use a location group. If data displays because you entered a location group that contains a city, you will not be able to edit this column. In this circumstance, you can return to the Manage Location Groups screen to make appropriate edits to the city data, as needed, or you can delete data in the Location Group column to enable you to enter or edit a specific city for this record.

Alternately, if do not use location groups and you enter a postal code in the Postal Code column that has previously been set up on the Manage Postal Codes screen in System Controls, the city name associated with the postal code displays in this column as a default city. In this circumstance, you can overwrite the displayed city as desired and enter non-validated city data.

Note: This column is independent from the other location columns. If you have not used a location group, you can add data in this column without any requirement to add data in any other data columns on this screen.
State/Province

This column displays the state/province data entered for this record, if applicable. Data displayed in this column may have been edited on this screen or the Loc Info tab of the Manage Asset Master Information screen, or set up as a default on the Manage Location Groups screen.

You can edit this column or enter a state/province only if you did not use a location group. Click if you need to review and select from the available state/province abbreviations.

If data displays because you entered a location group that contains state/province data, you will not be able to edit this column. In this circumstance, you can return to the Manage Location Groups screen to make appropriate edits to the state/province data, as needed, or you can delete data in the Location Group column to enable you to enter or edit specific state/province data for the record.

You can only enter valid state/province data from the Manage States and Provinces screen in System Controls in this column. If you enter state/province data, you must also enter valid data in the Country column.

Alternately, if you do not use location groups and you enter a postal code in the Postal Code column that has previously been set up on the Manage Postal Codes screen on Costpoint System Administration, the state/province name associated with the postal code displays in this column.

Note: This column is independent from the other location data, with the exception of the Country column. If you have not used a location group, you can add data in this column without any requirement to add data in any other columns on this screen except for the Country column.
Postal Code

This column displays the postal code data entered for this record, if applicable. Data displayed in this column may have been edited on this screen or the Loc Info tab of the Manage Asset Master Information screen, or set up as a default on the Manage Location Groups screen.

You can edit this column or enter a postal code if you did not use a location group. Click if you need to review and select from the available postal codes.

If you use to review the postal codes or if you enter a postal code in this column that has previously been set up on the Manage Postal Codes screen in System Controls, the city, state/province, and/or country data associated with the postal code displays in the appropriate columns. In this circumstance, data related to the postal code will overwrite existing data in the City, State/Province, and Country fields, but you can edit the system-populated data as needed. If data displays because you entered a location group that contains postal code data, you will not be able to edit data in this column. In this circumstance, you can return to the Manage Location Groups screen to make appropriate edits to the state/province, country, and postal code data, as needed, or you can delete data in the Location Group column to enable you to enter or edit specific state/province, country, and postal code data for the record.

Note: This column is independent from the other location data. If you have not used a location group, you can add data in this column without any requirement to add data in any other columns in this screen.
Country

This column displays the country data entered for this record, if applicable. Data displayed in this column may have been edited on this screen or the Loc Info tab of the Manage Asset Master Information screen, or set up as a default on the Manage Location Groups screen.

You can edit this column or enter a country only if you did not use a location group. Click if you need to review and select the available country codes.

If data displays because you entered a location group that contains country data, you will not be able to edit this column. In this circumstance, you can return to the Manage Location Groups screen to make appropriate edits to the state/province and country data, as needed, or you can delete data in the Location Group column to enable you to enter or edit specific state/province and country data for the record.

You can enter only valid country data from the Manage Countries screen in System Controls in this column.

Alternately, if you do not use location groups, and if you enter a postal code in the Postal Code column that has previously been set up on the Manage Postal Codes screen in System Controls, the country associated with the postal code displays in this column.

Note: This column is independent from the other location data, with the exception of the State/Province column. If you have not used a location group, you can add data in this column without any requirement to add data in any other columns on this screen except for the State/Province column. If you enter country data, you must also enter valid data in the State/Province column.
County

This column displays the optional county data entered for this record, if applicable. Data displayed in this column may have been edited on this screen or the Loc Info tab of the Manage Asset Master Information screen, or set up as a default on the Manage Location Groups screen.

You can edit this column or enter a county only if you did not use a location group.

If data displays in this column because you entered a location group that contains county data, you will not be able to edit it. In this circumstance, you can return to the Manage Location Groups screen to make appropriate edits to the county data, as needed, or you can delete data in the Location Group column to enable you to enter or edit specific county data for the record.

Note: Unlike the City, State/Province, and Country columns, county data is not linked with postal code information. This column is independent from the other location columns. If you have not used a location group, you can add data in this column without any requirement to add data in any other data columns on this screen.
Location 1

If you designated a label in the Location 1 Label field on the Manage Asset Master Field Labels screen, your label code for Location 1 displays at this column. Note that you are not required to establish a label for this column. If you did not set up a label for Location 1 on the Manage Asset Master Field Labels screen, Location 1 displays at this column.

This column displays the optional Location 1 data entered for this record, if applicable. Data displayed in this column may have been previously edited on this screen, in the Loc Info tab of the Manage Asset Master Information screen, or set up as a default on the Manage Location Groups screen.

You can edit this optional column, enter, or click to select, a Location 1 code. This column is always editable, even if you have specified a Location 1 code associated with a location group. The Location 1 code entered in this column is validated against Location 1 codes previously set up on the Manage Location 1 Codes screen.

Note: This column is independent from the other location data. You can add data in this column without any requirement to add data in the Location 2 and Location 3 columns or in any other data columns on this screen.
Location 1 Desc

This non-editable column displays the Location 1 description assigned to the location code when it was saved on the Manage Location 1 Codes screen. To edit the description for the Location 1 code, you must do so on the Manage Location 1 Codes screen.

Location 2

If you designated a label in the Location 2 Label field on the Manage Asset Master Field Labels screen, your label code for Location 2 displays at this column. Note that you are not required to establish a label for this column. If you did not set up a label for Location 2 on the Manage Asset Master Field Labels screen, Location 2 displays at this column.

This column displays the optional Location 2 data entered for this record, if applicable. Data displayed in this column may have been previously edited on this screen, in the Loc Info tab of the Manage Asset Master Information screen, or set up as a default on the Manage Location Groups screen.

You can edit this optional column, enter, or click to select, a Location 2 code. This column is always editable, even if you have specified a Location 2 code associated with a location group. The Location 2 code entered in this column is validated against Location 2 codes previously set up during initialization (or at other times, as necessary) on the Manage Location 2 Codes screen.

Note: This column is independent from the other location data. You can add data in this column without any requirement to add data in the Location 1 and Location 3 columns or in any other data columns on this screen.
Location 2 Desc

This non-editable column displays the Location 2 description assigned to the location code when it was saved on the Manage Location 2 Codes screen. To edit the description for the Location 2 code, you must do so on the Manage Location 2 Codes screen.

Location 3

If you designated a label in the Location 3 Label field on the Manage Asset Master Field Labels screen, your label code for Location 3 displays at this column. Note that you are not required to establish a label for this column. If you did not set up a label for Location 3 on the Manage Asset Master Field Labels screen, Location 3 displays at this column.

This column displays the optional Location 3 data entered for this record, if applicable. Data displayed in this column may have been previously edited on this screen, in the Loc Info tab of the Manage Asset Master Information screen, or set up as a default on the Manage Location Groups screen.

You can edit this optional column, enter, or click to select, a Location 3 code. This column is always editable, even if you have specified a Location 3 code associated with a location group. The Location 3 code entered in this column is validated against Location 3 codes previously set up during initialization (or at other times, as necessary) on Manage Location 3 Codes screen.

Note: This column is independent from the other location data. You can add data in this column without any requirement to add data in the Location 1 and Location 2 columns or in any other data columns on this screen.
Location 3 Desc

This non-editable column displays the Location 3 description assigned to the location code when it was saved on the Manage Location 3 Codes screen. To edit the description for the Location 3 code, you must do so on the Manage Location 3 Codes screen.
