Contents of the Manage Approval Workflow Case Status Screen

Use the fields and options to configure the Manage Approval Workflow Case Status screen.

Selection Ranges

Use this section to enter filter criteria.

After you enter the criteria, click Execute () on the Global Toolbar to populate the Approval Workflow Case Details section with cases that meet this criteria.

Field Description
Approval Workflow Model Select an option from the drop-down list to view either one or all workflow models.
If you select One, enter, or click to select, the workflow for which you are an assigned Model Owner.
Approval Workflow Start Date Use this list to select the range of cases to be included. Options include:
  • All: Select this option to include all cases, regardless of when they started.
  • One: Select this option to include cases that started on a specific date. Specify the start date in the adjacent Start field.
  • Range: Select this option to include cases that started within a date range. Specify the date range in the adjacent Start and End fields.
  • From Beginning: Select this option to include cases that started on or before a certain date. Specify the date in the adjacent End field.
  • To End: Select this option to include cases that started on or after a certain date. Specify the date in the adjacent Start field.

If this field remains blank, the Approval Workflow Start Date will not be considered in the filter results.

Approval Workflow Completion Date Select All to include all cases, regardless of the completion date, or select cases based on dates, using one of the following options:
  • One: Select this option to include cases that ended on a specific date. Specify the date in the adjacent Start field.
  • Range: Select this option to include cases that ended within a date range. Specify the date range in the adjacent Start and End fields.
  • From Beginning: Select this option to include cases that ended on or before a certain date. Specify the date in the adjacent End field.
  • To End: Select this option to include cases that ended on or after a certain date. Specify the date in the adjacent Start field.

If this field remains blank, the Approval Workflow Completion Date will not be considered in the filter results.

Approval Workflow Case Status

Select one or more case status options to limit the workflow model case results. A case status must be selected to load case details.

Field Description
In Process Select this check box to display model cases that have started but have not been completed (approved) or rejected.
Completed Select this check box to display model cases that have completed with an approval.
Rejected Select this check box to display model cases that have been rejected to the beginning of the workflow model.
Currently Assigned User If you selected In Process, you can display cases where any user, or a specific user, is assigned to an open activity in a case. Options include:
  • All
  • One

    If you select One, enter, or click to select, a user.

Approving or Rejecting User If you selected Completed and/or Rejected, you can display cases that have an activity that was completed/approved or rejected by any user or a selected user. Options include:
  • All
  • One

    If you select One, enter, or click to select, a user.

Approval Workflow Case Details

This table lists all cases that meet the Selection Ranges criteria. You can also view the case details in Form view. Select a case to view its details in the Case Log and Case Field Values subtasks.

Field Description
Approval Case This column displays the unique identifier assigned to the approval case.
Approval Screen This column displays a link that navigates to the screen where the approval occurred or will occur.
Approval Workflow Model Name This column displays the name of the approval workflow model.
Rev This column displays the workflow model revision number.
Application Screen Name This column displays the application name of the approval workflow screen.
Status This column displays the status of the approval workflow case as In Process, Completed, or Rejected.
Start Time This column displays the start date and time of the approval workflow case.
Start User This column displays the User ID of the user who started the approval workflow case.
Complete Time This column displays the date the approval workflow case was completed.
Reject Code This column displays the reject code, if one is required for the case.
Reject User This column displays the User ID of the user who rejected the approval workflow case.

Case Actions

Select an action option for the selected case(s).

Field Description
Send Reminder to Currently Assigned Role Select this option to send an email reminder to all users in the currently assigned roles about the open cases in the selected workflow models.
Escalate Pending Activity(ies) Select this option to escalate pending activities to the Escalate To role that was predefined in the workflow models of the selected cases.
Delegate Pending Activity(ies) to User Select this option to delegate the approval of pending activities in the selected cases to another user. Specify the delegated user in the adjacent field.
Reject Approval Case(s) to Beginning Select this option to reject the selected cases to the beginning. Once a case is rejected to the beginning, the Approval Workflow can be restarted for the case, if desired.
Reject Approval Case to Activity When only one case is selected in the Approval Workflow Case Details table, you can choose this option to reject a case back to a specific activity.
In the adjacent field, select an activity.
Reject Code If required for the workflow model, enter, or click to select, a reject code.
This option is available when only one case is selected.
Reject Notes If required for the workflow model, enter notes about the rejection.
This option is available when only one case is selected.
Submit Case Action Click Submit Case Action to initiate the selected case action option.

Subtasks

Subtask Description
Case Log If one row is selected, click this link to open the Case Log subtask and view the activity history of the selected case.
Case Field Values If one row is selected, click this link to open the Case Field Values subtask and view the data values that were approved in the selected case.
