Message Topics Subtask

Use this subtask to define discussion topics.

Usually, there is only one topic for each message board. However, there are situations when multiple topics are required, such as:

  • Costpoint is configured for multiple companies, and you need data and messages in Costpoint and Outlook to be separate for each individual company.
  • Row-level security restrictions permit access to the data and topic only for a selected group of users. For this situation, you will define multiple topics with different security settings (custom access rights).

Field Description
Topic

Use this field to enter a unique ID for the topic. This can be the same name as the message board.

Topic Name

Use this field to enter a descriptive name for the topic.

Company ID

Use this field to enter the company ID with which to associate the topic. Enter ALL to associate the topic to all the company IDs.

Accessible in Outlook

Select this check box to allow users to see or use the topic folder in Outlook.

Outlook Folder Name

Use this field to enter the actual Outlook folder name. This can be the same name as the topic ID and/or the message board name.

Costpoint validates the existence of the folder name and create a new folder if necessary. If you entered ALL in the Company ID field, Costpoint will create a folder within the root folder. If the topic/folder is set for a specified company, Costpoint will create a folder inside the company folder.

There is a one-to-one relationship between topics and Outlook folders. When you enter a new folder, Costpoint validates its existence in Outlook. If the folder is already defined for another topic, Costpoint will not save the folder. Otherwise, Costpoint will create the new folder in Outlook and assign its access permissions based on Costpoint settings.

Outlook Folder Email Address

Use this field to enter a unique email address for the Outlook folder.

If you enter a folder email address that is already defined in Exchange, Costpoint will assign a similar address. For example, if voucher@domain.com already exists, Cosptoint will change it to voucher_1@domain.com.

Note: The Outlook folder and email address are required information regardless if you selected the Accessible in Outlook check box. The folder must exist in the Exchange server, and the check box only defines its visibility in Costpoint and Outlook.
Costpoint Attachment File Location ID

Use this field to enter a predefined alternate file location for the topic. This location serves as the destination for importing email attachments into Costpoint.

Costpoint Attachment File Location Name

Use this field to enter the name of the selected alternate file location.
