MANAGE REQUEST FOR QUOTES BY VENDOR

Use this screen to enter a request for quote for a specific vendor. You can enter multiple items and miscellaneous line charge types on the Request for Quote (RFQ) for the specified vendor. This screen displays any RFQs that already exist for a specific item (and the same vendor) on the Manage Request for Quotes by Item screen. You can also create RFQs using the Select Request for Quotes from Proposals and Create Request for Quotes for Proposals screens in Costpoint Materials Estimating. This screen displays any vendor RFQs that already exist for a proposal in Costpoint Materials Estimating.

You can also manually add an RFQ line and may or may not link it to a requisition/requisition line. If you link it to a requisition/requisition line and it has a corresponding delivery schedule, then the details will automatically load in the Delivery Schedule subtask, otherwise the Delivery Schedule subtask will be blank but remains editable.

Use this screen when a quote is required for one or more items from the same vendor.

Identification

Request for Quote ID

Enter a code to identify this RFQ. This code is used throughout Costpoint to reference this RFQ.

To update existing RFQs, click to search for RFQs within your Costpoint system.

RFQ Date

Costpoint automatically populates this field with the system date. You can enter, or click to select, a new date for this field.

Status

Select the status for the RFQ. The available options are:

Subcontractor Agreement

Select this check box to indicate that the RFQ is for creating subcontractor agreements. If a requisition is entered in the header section, and it is specified as a subcontractor agreement, this check box will automatically be selected.

Table Window

RFQ Line

This field displays the RFQ line number. It is a sequential number assigned by Costpoint to track the line items of the RFQ.

Lookup Type

Use this drop-down list to specify how the Item field uses to retrieve item information. The available options are:

Item

Enter, or click to select, the item for which the RFQ is to be created. Use the Lookup Prov Part button to select a provisional part in this field.

Rev

This field displays the latest revision of the Item. If you are using multiple part revisions, you can enter, or click to select, another revision.

Line Type

This field contains the item's line type. The possible values are:

Misc Type

Enter, or click to select, the line charge type to be quoted by the vendor. You must make an entry in this field if an Item is not specified.

Description

This field displays the description of the Misc Type. You can modify this description but your changes do override the description on the Item table.

Part Security

This field is visible only if the Use Part Data Security Controls check box is selected on the Configure Product Definition Settings screen, which indicates that the item is subject to data security restrictions, as defined in the International Traffic in Arms Regulations (ITAR) or the Export Administration Regulations (EAR).

If enabled, this field displays one of the following values to indicate whether the item you are accessing is subject to part data security restrictions and whether you have the necessary authorization to access information for that item:

If you are unauthorized to access parts or revisions that are subject to data security restrictions, then you will not be able to create or edit requisition lines for that restricted part/revision. In addition, you will not be able to view Line Documents, Substitute Parts, and Manufacturer/Vendor part information for those restricted items.

The features in this release relating to Part Data Security are intended to assist your company in achieving ITAR compliance. However, it is each company’s responsibility to confirm that it is meeting its obligations with respect to ITAR or other applicable requirements. Deltek does not warrant that use of this functionality will result in compliance.

Reqd Qty

Use this field to enter the required minimum quantity to be quoted for this Item by the vendor.

Commodity

This field displays the commodity code assigned to the Item. You can enter, or click to select, a different commodity code.

Order U/M

This field displays the ordering unit of measure, if the Item is a part, or the default unit of measure, if the it is a service.

RFQ U/M

Enter, or click to select, a valid unit of measure that the vendor uses when quoting this item.

Desired Lead Time - ARO

Enter the number of days (after receipt of your order) the vendor needs to deliver the item.

Desired Date

Enter, or click to select, the date on which the vendor needs to deliver the item.

Ship ID

Enter, or click to select, the ship ID of the location to which the quoted item is to be delivered. A ship ID may automatically default in if one is set up in the Configure Purchase Order Voucher Settings screen in Costpoint Purchasing. You can modify this field or leave it blank.

Manufacturer

Enter, or click to select, the identification code of the manufacturer assigned to the selected item.  

You can establish manufacturers in the Manage Manufacturers screen in Costpoint Product Definition.

Manufacturer Part

Enter, or click to select, the manufacturer part number of the selected item.

Mfg Rev

Enter the manufacturer part revision number of the selected item.

Vendor Part

Enter, or click to select, the vendor part number of the selected item.

Vend Rev

Enter the revision for the vendor part to be quoted.

The Manufacturer, Manufacturer Part, Mfg Rev, Vendor Part, and Vend Rev fields are automatically populated if the part/vendor combination exists in the Manage Alternate Parts screen in Costpoint Product Definition.

Status

This field displays the status of this RFQ line. The possible values are:

Select the status for the RFQ line. This field defaults with O for new lines, based on the RFQ's status under the Header subtask. Options are:

Resource Exists

This check box indicates if there is a resource for the corresponding requisition line. This check box is selected if one or more resources exist in the Resources subtask, otherwise this check box is cleared.

Project

Enter, or click to select, the project ID for this RFQ line. Projects are initially entered in the Project Master menu in Costpoint Project Setup.

Proj Abbrev

Enter, or click to select, the project abbreviation for this RFQ line.

Priority

Enter the Defense Priority Acquisition System (DPAS) or internal priority code for this RFQ line. If a priority was assigned to the Project, it displays here but can be modified.

QC Insp Reqd

This check box indicates whether or not a Quality Control (QC) inspection is required when the items are received.

Source Insp Reqd

This check box indicates whether or not a government source inspection is required when the items are received. A source inspection normally requires the vendor to obtain approval from a government inspector before any material can be shipped.

Cert Conf Reqd

This check box indicates whether or not a certificate of conformance is requires for the requisitioned items. A certificate of conformance is a legal document, issued by the vendor, which certifies that the material conforms to certain specifications and requirements.

Procurement Type

Enter, or click to select, the procurement type code for this RFQ line.

You can establish procurement types in the Manage Procurement Types screen.

Proposal Line

This field displays the proposal line number for the item if it resides in the referenced proposal. Establish proposal records on the Manage Proposals screen in Costpoint Materials Estimating.

Req Line

This field displays the requisition line number if the RFQ was created using the Manage Purchase Requisitions screen.

Requisition

Enter, or click to select, the ID of the requisition for which the RFQ line will be generated.

Combined Req Lines Exist

If selected, this check box indicates that combined requisitions exist for the requisition line, and you can check the Combined Req Line Details for more information.

Quote

If a vendor quote was returned for this RFQ, the quote ID displays in this field.

Quote Line

If a vendor quote was returned for this RFQ, the quote line number displays in this field.

Provisional Part

This field displays Y (Yes) if the selected item is a provisional part. Otherwise, this field displays N (No).

You can establish provisional parts for RFQs using the Manage Request for Quotes by Vendor screen.

Line Notes

Use this field to enter miscellaneous information about this RFQ line.

US Citizenship Required

If selected, this check box indicates that the resource associated with the requisition has to be a citizen of the United States of America (USA).

ITAR Autorization Required

If selected, this check box indicates that the resource associated with the requisition has to be authorized for International Traffic in Arms Regulations (ITAR) restricted items.

Security Clearance System ID

This field displays the security clearance that the resource associated with the requisition needs to have.

Description

This field displays the description of the security clearance that the resource associated with the requisition needs to have.

Security Clearance Level

This field indicates the security clearance level that the resource associated with the requisition needs to have. The value for this field corresponds to the security clearance ID entered.

Issuing Agency

This field indicates the agency that issued the security clearance.

SCI

If selected, this check box indicates that the security clearance that the resource associated with the requisition has to be cleared for the Sensitive Compartmented Information (SCI).

SAP

If selected, this check box indicates that the security clearance that the resource associated with the requisition has to be cleared for Special Access Programs (SAP).

Action

Select an action to indicate if vendors have been notified of the changes to the RFQ line. For new RFQs, if the Released to Supplier check box in the RFQ header is selected, then this option defaults to Released to Supplier.  When you add new RFQ lines for existing RFQ IDs, the option defaults to None.

This option is available only to users who are licensed for Supplier Portal.

Action Notes

Enter any notes related to the action taken both by the vendor and buyer for the RFQ line.
