Approval Workflow Models

Use this screen to define and design approval workflow models and assign them to specific Costpoint application screens.

You can set up multiple workflow models for the same application screen in the same database. In addition, you can incorporate multiple application screens into a single workflow.

You can define basic information about workflow models, approval steps or activities and their order, and conditions that apply to the workflows. You can also design the flow of activities. The Approval Flow Structure block provides a graphical outline of the workflow. This screen also has subtasks where you can enter and edit the flow definition.

After the approval workflow model is defined, the associated application screen is extended with approval functionality (see special topic Approval Workflow: Screen Add-On for more information).

You must first use the following screens to enter information before you set up this screen:

  • Approval Roles
  • Role Filter Fields
  • Reject Codes
  • Approval Workflow Email Messages

Refer to the Create a New Approval Workflow Model procedure for information on the recommended sequence of steps in creating a new approval workflow model.

You can choose to delegate all your approval assignments to another person, whether permanently or temporarily. To do this, go to the Configure User Preferences screen and fill in the fields in the Delegate Approvals group box.

You can also check the list of all activities that you, as a Costpoint user and a possible member of different approval roles, are due to approve. Go to the My Approval Tasks screen to view the details of the approval tasks assigned to you. From this screen, you can click application links to access the screens where you need to complete the approval task or step.

If you are assigned as an owner of a workflow, you can monitor the status of workflow cases on the Manage Approval Workflow Case Status screen.

Note: Use caution in the timing of your edits because any modifications may affect in-progress approval workflows.
