Contents of the Manage Project Roles Screen

Use the fields and options to configure the Manage Project Roles screen.

Identification

Field Description
Project

Enter, or click to select, a valid project for which you want to set up project roles. This is a required field. After you save the record, this field is non-editable. The unlabeled field to the right displays the description of the project selected.

If you open this screen from the Manage Project User Flow application, the project from Manage Project User Flow defaults in this field and cannot be edited.

If the project already has existing roles, selecting this project using displays the following message: "Project already exists. You must enter a unique identifier for each project." To edit or add roles for this project, use the Query button to find and load this project on the screen.

Note: A PM (project manager) role is automatically added to a project if the project has a project manager (with a corresponding user ID) assigned via the Project Manager field on the Details tab of Manage Project User Flow. Use Query to load this project in Manage Project Roles and view or modify its roles.

Roles

All roles that have been set up on the Manage Functional Roles screen display in this table.

Highlight the role that you want to assign to the project and the user(s) selected in the Users group box. You can select one or more roles.

Field Description
Role Code

This column displays the role codes that can be assigned to the project and selected user(s).

Description This column displays the description of each role code in the Role Code column.

Users

This table displays the users who have been granted access to the company you are currently logged in to.

Highlight the user to which you want to assign the role(s). You can select one or more users.

Field Description
User ID This column displays the user IDs available for selection.
Name This column displays the name of each user in the User ID column.
Employee ID This column displays the employee ID of each user in the User ID column.
Select After you highlight roles in the Roles group box and the users in the Users group box, click this button to assign the selected roles to the users and add them to the Roles Assigned to Users table window.

Roles Assigned to Users

After you click the Select button, the roles assigned to the project and selected users are displayed here.

You can also manually assign a role to a user in this table window. Click New to add a row.

If a project manager (with a corresponding user ID) is already assigned to the project on the Details tab of the Manage Project User Flow screen, this manager/user automatically loads in the table window. You will still be able to add rows with the same role, as multiple project managers may be assigned to a project.

There are instances where a project manager would have multiple user IDs. If the user ID displayed for the system-inserted PM row is incorrect, you can delete this row and add a new row with the correct user ID.

Role Code

This column displays the role code assigned to the user.

For new rows, enter, or click to select, the role you want to assign to a user.

Description This column displays the description of each role code in the Role Code column.
User ID

This column displays the user ID to which the role is assigned.

For new rows, enter, or click to select, the user ID to which you want to assign the role.

Name This column displays the name of each user in the User ID column.
Apply to Lower Project Levels

This check box is automatically selected for records loaded through the Select button and also for new rows added to the table window. Keep it selected if you want to assign the same roles to project levels lower than the selected Project on this screen. Clear the check box on the row/role which you do not want to apply to lower project levels.

For the project manager (PM role) row that was automatically loaded from Manage Project User Flow, this check box is cleared by default, but you can select it.

If the same role assignments had already been cascaded to lower-level projects and you clear this check box at the higher project level, these role assignments will be removed from the lower-level projects. If you delete rows with this check box selected, the same rows will also be removed from lower-level projects.
