Open Billing Over 30 Days Dashpart

The Open Billing Over 30 Days dashpart is a stacked bar chart that displays the sum of transactions that have not been billed yet by project for a given aging range. The data on this dashpart comes from Costpoint.

Note: This dashpart is available on the Project Manager Dashboard, Organization Manager Dashboard, and Finance Manager Dashboard.

Open billing transaction amounts are rolled up to the top-level project. Each project is represented by a bar, and each segment of a bar represents the amount of open billing transactions in one of four aging ranges (in days): 31-60, 61-90, 91-120, and 120+. The amounts that display are based on the company's functional currency, as set up on the Costpoint database being accessed. The functional currency is also displayed on the chart legend, along with (000) to reflect that the data is presented in thousands.

Projects that display on the chart are only those projects you have access to and their child projects.

Note: For the Organization Manager Dashboard and Finance Manager Dashboard, projects that display are only those associated with the organizations you have access to. If you have access to multiple organizations, you can limit the data that displays on this dashpart to only one or a few organizations by clicking the Global Settings link on the Organization Manager Dashboard or Finance Manager Dashboard. On the dialog box that displays, enter an organization ID in Limit Data to Organizations that Start With. After you saved your change, the dashpart displays data for the selected organization and all levels below it.

Calculation

Costpoint calculates the open billing amount as follows: Transaction Amount - (Cash Basis Amount + On Hold Amount + Write Off Amount + Amount Previously Billed).

The age the transactions are open is based on the subperiod end date: Current Date - Subperiod End Date.

Drill-Through

Hover over a bar segment to display a tooltip containing the project name and the actual open billing amount represented by that segment. Click a segment to open the Manage Open Billing Detail screen, where you can view the open billing transactions for a particular project in a given aging range. For example, when you click a 91-120 segment in a bar/project, the Manage Open Billing Detail screen displays transactions for that project that have been open for 91-120 days.

Note: Depending on your security rights, Costpoint may display a message indicating that you do not have access to a drill-through application.

Security

For the Organization Manager Dashboard and Finance Manager Dashboard, the data that displays on this dashpart depends on whether or not your company uses the organization security feature in Costpoint. If your company does not have organization security applied, you can view data for all organizations in your company, but the data displayed will be limited by the organization selected in Global Settings and the dashpart settings specified.

If your company has set up organization security, the security applied to the dashpart will be based on the organization security settings of the Print Project Status Report screen. The security will be applied to the owning organization of the project. You will see open billing transactions for projects that have an owning organization you have access to.

If the security profile with which you are associated does not have rights to the Print Project Status Report screen, you can still view the Open Billing Over 30 Days dashpart. You can also view this dashpart even if you do not have rights to the Manage Open Billing Detail screen, but you will not be able to drill through this application.
