Basic Information Tab

Use the Basic Information tab to configure a functional role and to assign general and delegation rights to that role.

Identification Fields

When Time & Expense is co-deployed with Costpoint, functional roles can be only be added, copied, deleted from the Admin > System Admininstration > System Administration Controls > Manage Functional Roles screen.

Field Description
Functional Role Code

This field is display-only if Time & Expense is co-deployed with Costpoint. Role codes are maintained from the Manage Functional Roles screen in Costpoint.

Enter up to 15 uppercase, alphanumeric characters for the functional role code. Each Functional Role Code must be unique. Although this code does not display on other screens, you should assign a meaningful code because this field can be used in user-defined reports/inquiries.

Description

This field is display-only if Time & Expense is co-deployed with Costpoint. The description of the code populates from Manage Functional Roles screen in Costpoint.

Enter a unique functional role description of up to 60 alphanumeric characters.

Type

Select the type of functional role from the drop-down. The available options are Employee, Charge, and Employee and Charge. Employee will display as the default when you add a new record.  Please review the "Functional Roles" section of the Deltek Time Collection Getting Started Guide for detailed information.

General Rights

Field Description
Modify Charges

Select this check box to give users that have this functional role the rights to modify charge information in the UDT01 or UDT02 maintenance screens based on where their role is assigned . If you are adding a new Functional Role Code, this check box will be unchecked by default.

Approve Charges

Select this check box to give users that have this functional role the rights to approve charges on timesheets and expense reports based on where their role is assigned for the charges (either UDT01 or UDT02 type charges). If you are adding a new Functional Role Code, this check box will be unchecked by default.

Modify Employee Group

Select this check box to give users that have this functional role the rights to modify the employee group information where they have this role over the group. If you are adding a new Functional Role Code, this check box will be unchecked by default.

Modify Employee Data

Select this check box to give users that have this functional role the rights to modify employee information. If you are adding a new Functional Role Code, this check box will be unchecked by default.

Delegation Rights

Field Description
Allow Delegation

Select this check box to give users that have this functional role the rights to delegate their tasks to another functional role when they are unavailable to perform those tasks themselves.

Functional Role

Click to select a specific functional role to limit the delegation to one functional role. If you leave this field blank, the functional role can delegate to any other functional role that has been set up.
